Why I run my clinic on checklists

If you are repeating yourself, write it down.

If you find yourself saying the same things to your team again and again. If you keep forgetting to order the same thing, keep running out of the same stock, keep repeating yourself to clients. If something happens repetitively, there is a really easy solution, and I have used it in my clinic for nine years.

It worked when I had a team of four, and now with a team of twelve the place hums like a well-oiled ship. Nothing gets forgotten. Nobody needs prompting. Everybody knows what the priorities are, and the clients have a happy, seamless experience.

None of these were born perfect. Every line is there because something went wrong once, and I decided it was never going to go wrong twice.

What you get

Five templates, straight from my clinic.

Rewritten so they work for any clinic, with the blanks for your own details. All five are fully editable and brandable in Canva, so you can make them yours, then print them and stick them where the job happens.

The Open and Close Routine checklist

The Open & Close Routine

The exact routine my team opens and closes my clinic with, every single day, on one page. Morning open on one side, evening close on the other, grouped the way the day actually runs.

  • Bookings first: emails, voicemails and every inbound messaging platform, before anything else
  • Treatment rooms, waiting room, beverage table and room scenting, ready before the first client walks in
  • Charging, the end of day reconciliation, and a lock-up that ends with checking the door
  • Space for your clinic’s own extras, plus opened by, closed by and date

The Key Log

Losing a key to the whole building is an insurance problem, not just an inconvenience. Every key that leaves the clinic gets signed out, and signed back in.

  • Date, team member, key number, signature and returned, on every line
  • Number every key and keep the sheet with the spares
  • Check it at your monthly team meeting, so a missing key shows up in a month, not when you need it
The Fridge Temperature Log
Template 3 Editable & brandable in Canva

The Fridge Temperature Log

Your product fridge, checked twice a day, every day. Two minutes at open and close, and you can show exactly how your products were kept if anyone ever asks.

  • A month on one page: morning and afternoon min, max and current, with a 2 to 8°C tick, a reset tick and a fridge-locked tick
  • An “out of range? what we did” column on every line
  • Page 2: the six steps to follow when the fridge goes out of range, and an excursion record to fill in
The Treatment Room Pack Down checklist
Template 4 Editable & brandable in Canva

The Treatment Room Pack Down

The checklist inside every treatment room door at my clinic, so every treating team member knows exactly how to pack down their room at the end of a shift. Nobody has to remember, because it is all on the door.

  • Products and medicines: labelled, back in the fridge, Schedule 4 locked away
  • Sharps and clinical waste, clean down, and restock for the next day
  • Devices off and the room left ready, so the morning starts smoothly
The Daily Shift Report
Template 5 Editable & brandable in Canva

The Daily Shift Report

Filled in by whoever closes, every single day, and sent to the whole team before they leave. Tomorrow’s team walks in knowing exactly what happened today and what needs doing first.

  • First action items, client follow-ups, complaints and anything impacting the client experience
  • Cash and EFTPOS variances, low stock, orders and your toxin vial count
  • The day’s figures against your own targets, plus the lock-up checks before you leave
Built on the rules

Made to the standards auditors look for.

I went back to the source documents so you don’t have to. The Fridge Temperature Log is built on these, and the references are printed on the page so anyone checking can see exactly where each step comes from.

Storage guidelines

Strive for 5

The Australian Government’s National Vaccine Storage Guidelines: 2 to 8°C, minimum and maximum recorded at least twice a day, the thermometer reset after every reading, and a written record of anything out of range.

Victorian law

Regulation 73

The Drugs, Poisons and Controlled Substances Regulations 2017 (Vic): Schedule 4 poisons kept in a lockable storage facility, locked whenever it is not in use. That is why “locked” gets ticked at every check.

Your products

Product Information

Each product’s official Product Information (on the TGA register) sets its storage temperature and limits. The log points you back to it, so your fridge matches what is actually in it.

General information from one working injector, not legal or clinical advice. Outside Victoria, check your own state or territory’s drugs and poisons rules.

Who this is for

For the clinic that is tired of repeating itself.

  • Clinic owners whose opening and closing lives in one person’s head
  • Injectors hiring their first receptionist or admin person
  • Growing teams where different people open and close on different days
  • Anyone who has ever driven back to the clinic to check the door was locked

Practical, printable and yours to change. These are the same routines my front of house team works from, rewritten for any clinic.

Meet me

Amy Wright, RN

Cosmetic nurse · Clinic owner · Mentor

I'm Amy, registered nurse since 2009 and cosmetic injector for fifteen years. I have run my own clinic for nine years and built it into a team of twelve.

My purpose and mission is to be a support to other injectors on their journey, to create community not competition, and to raise the industry standard for our clients, our colleagues and our businesses.

These checklists are what I wish someone had handed me when I opened my doors. Community over competition. If they help, send them to the clinic owner who needs them.
